Team Dissolution Policy
Occasionally, a team at Twin County Soccer Association (TCSA) may become inactive and ultimately dissolve—either at the conclusion of a seasonal year (as defined by New Jersey Youth Soccer: September 1 through August 31) or during the seasonal year. When this occurs, questions may arise regarding tuition obligations and the handling of any remaining team funds.
As a registered 501(c)(3) public charity, TCSA must follow regulations governing the use and disbursement of funds. Team funds may not be refunded directly to parents, guardians, or donors.
To ensure compliance with these regulations and consistency in how dissolutions are handled, no disbursement, credit, refund, or repurposing of tuition or team funds will occur until the team has been formally declared dissolved by Twin County Soccer Association.
Tuition Handling Upon Team Dissolution
Upon official dissolution of a team, TCSA will determine the portion of tuition applied to the sessions and activities already delivered prior to dissolution. This amount represents the full tuition obligation for participation in the dissolved team.
- The applied tuition amount is the same for all rostered players and is not affected by payment plan selection, financial assistance, or installment timing.
- Families who paid more than the applied tuition amount will receive a refund of the excess tuition paid.
- Families who paid less than the applied tuition amount will not receive a refund and remain responsible for the remaining balance up to the applied tuition amount.
- Tuition assistance, hardship scholarships, and discounts reduce a family’s tuition obligation but are not refundable and are not converted to cash or credits.
- Payment plan convenience fees are non-refundable. These fees cover administrative and processing costs associated with installment billing and are not considered part of tuition.
Once a Team Is Officially Dissolved
- Any individual player credits or fundraising balances may first be applied toward registration with another Twin County Soccer team or club program, if applicable.
- Any remaining shared team balance will then be equitably divided among all players who were rostered to the team for the seasonal year and:
- Returning players may choose to receive their portion as a gift card to a sporting goods store that sells soccer equipment, or apply the amount toward tuition or other Twin County Soccer programs.
- Non-returning players will receive their portion only as a gift card to a sporting goods store that sells soccer equipment.
- Players with outstanding registration fees and/or team dues are not eligible to receive a gift card or credit distribution until all financial obligations are satisfied. This ensures that all players who fulfilled their financial commitment to the team are recognized fairly.
- Any funds not distributed as player credits or gift cards will be
returned to Twin County Soccer Association and used to support future club programming and operations in line with our charitable purpose.
